Registration & Payments · for Athletic directors and families

Registration on your terms. Money in your account.

Open your window, set your fees, ask your questions. Families register from your own website, and the money goes straight to your organization.

Your window, your fees, your questions

  • Early, standard and late pricing with dates; free programs; priced add-ons.
  • Eight question types, including files, dates and yes/no follow-ups. Player-only or adult-only questions.
  • Waivers with a typed signature, sanitized and on file. Organization defaults copy into every new program.
  • Youth and adult programs alike. Boys and girls managed as one program: edit, publish, close and archive once.

Every way a family pays

  • Cards through Stripe, or cash and check recorded by the office with a receipt.
  • Payment plans: a deposit today, dated installments charged automatically, a reminder three days before.
  • Discount codes with limits and expiry.
  • Failed cards: after three attempts the family gets an email with a link to update their card and retry on the spot, and the AD gets a heads-up.

Full rosters without the chaos

  1. 1Set a capacity if you want one. When a program fills, extra families join a waitlist, and an offer gives them 48 hours to claim the spot.
  2. 2A child already registered sees a status card, never a second charge; a double payment refunds itself.
  3. 3Answers and eligibility from last season are prefilled for review.
  4. 4Missed the window? Send a family a personal late-registration invitation — their own link to register after closing, good for 14 days.

Refunds, withdrawals and disputes, handled

  • Full, program-only or custom refunds from your own account, with ledger rows and emails.
  • A formal withdraw frees the seat, cancels the plan and tells the family.
  • Card disputes are flagged automatically the moment they arrive, with the response deadline, and emailed to you.
  • Money goes directly to your Stripe account; processing is passed through so you receive the full program price.

The details that make it work.

  • Program status in plain words
  • Emergency close registration
  • Visibility: listed or by access code
  • Self-registration for adult programs
  • Registration finances per program
  • Archiving a program shows you exactly what it affects before you confirm

Questions

Straight answers.

Do we need a merchant account?

No. Stripe onboarding happens inside the platform and payouts go to your organization's own account.

Can a family pay by check?

Yes. They register now, the office records the payment later, and the receipt goes out automatically.

What if a family registers twice?

The second attempt is refused before any charge. A same-second double payment is refunded automatically.

Does theWhistl store card numbers?

No. We never see, store or retain card details — payment information goes straight to Stripe, the professionals, and card data never touches our servers.
